The same qualities that are needed in an employee are also indispensable when hiring a virtual member for our team. We’ve created many successful relationships hiring on behalf of our clients and have learned which qualities top the list.

A great work ethic

Work history says it all. Look for extended employment at each company they have worked with. Being able to commit to a job and see it through is important, whether working virtually or on-site. Don’t forget to follow up with an applicant’s previous employers to confirm dates so as to avoid those who jump from job to job.

A good fit

Rather than interviewing an applicant in the traditional way, try having a conversation with them that encompasses more than just their work history. You’ll find out more about them this way – their interests, hobbies that they are passionate about and in the end, just how well they will fit with your company and your other employees. If their goals and values are similar to yours, that is the first sign that they will work well with your company.

Determination

Some may call this persistence or even downright stubbornness but a good employee doesn’t give up easily. They are in it for the long haul and do whatever it takes to get the job done, within reason. Especially with virtual teams, determination is important as your clients are counting on delivery. Determination and reliability go hand in hand to get the job done.

Strong communication skills

Particularly when working virtually but also necessary for anyone dealing with people, an employee who doesn’t communicate well will not be a benefit to your business. Communicating well means balancing a friendly personality with professionalism, being able to ask the right questions and also having a voice that others like.  If your employee is using email frequently, they must also have excellent email etiquette. Many businesses lose customers due to what seems like rudeness in an email when the real cause is lack of knowledge.

Sense of humor

Humor may not top most lists, but being able to laugh off the things that really don’t matter is essential in any business. It also helps with productivity! Watch out for employees who get frustrated or upset easily, are overly emotional one minute but fine the next and those who lose their temper often. Your virtual staff will almost always be working with the public and even over the telephone, your customers can tell when the person they are speaking with is smiling.

While there are other qualities that are also important when hiring, looking for these five top qualities will ensure that your new employee is a good fit, can get the job done and will go the distance.

How to Change From a Workaholic to Productivity

Changing your personality from that of an over anxious, relentless workaholic to one of relaxed productivity causes a major shift in your life balance. For the workaholics among us, how do we learn to balance that compelling desire to work, with activities that will enrich our lives?

Fixating on only one aspect of your life, whether it is work or play affects your health detrimentally. Being focused is good and is also a benefit when you are working or otherwise engaged but fixation shrinks your world and throws your life out of balance. Changing your workaholic lifestyle to one that expands your interests is a step by step process.

The first step for many who are addicted to working is to learn to focus for short periods of time. Though focusing helps to accomplish goals, if you are completely focused on only one aspect of your life, you may not be paying attention to how long it’s taking you to complete your work tasks. Starting to monitor how long each one takes and deciding if that length of time is necessary is a step in the right direction – the one to productivity.

Moving away from being a workaholic will involve putting up boundaries, many of them against yourself!  You became a workaholic because you disregarded other things in your life and now is the time to sit up and take notice of what you’ve been missing. Besides creating boundaries, learning to do things by schedule will help to take your focus off working every hour of the day. Schedule your meals and schedule your bedtime if you have to. Step away from the computer and turn it off.

Begin to take breaks every half hour for physical activity as well as to stop and observe what is going on around you, especially outdoors. Use some of your break time for a short walk, leaving your mobile devices at home.

If you have neglected your family and friends because of your fixation on working, make plans to spend time with them on your weekends and don’t back out at the last minute! Schedule time to find new hobbies and interests or revive your interest in recreational pastimes that you were once involved in.

Productivity does not always mean working. It means that you are making good use of your time and enjoying your life. Workaholics tend to be very tense and finding a physical outlet for your stress that will help you relax will eventually lead to a more healthy way of living.

For those who can’t turn themselves off from focusing on work, try to subtract one thing each day from your workaholic life and replace it with something else that doesn’t involve work. Though this is hard for workaholics, you need to keep in mind that you are doing this for you. Remember, you don’t have to please everyone, the major focus of your life goals should be on where you see yourself in future years. Live your life for yourself, not others. If you run a business or you are an entrepreneur just starting out, decide which jobs can be delegated to others and then share the load by hiring a team that can take over some of the responsibility. Then walk away and let them do it!

These teams specialize in various administrative and other duties. They work best when left to themselves. It will result in a huge burden being lifted from your shoulders and more time for you!

Changing workaholic tendencies into those of a relaxed productive person doesn’t happen overnight. Learning to balance your work with other interests will make you a much more rounded and interesting person and is worth the effort.

You may find that you actually begin to enjoy life more. You may even begin to not want to work quite as much! While this may come as a surprise to you once you notice it, at the same time, you’ll realize you are accomplishing more.

And this is productivity!

Choosing to be responsible for yourself and for a new or growing business, brings challenges to many women that are frustrating, time consuming and often not fully understood. Overcoming these challenges and the obstacles they put in your path can make or break your business.

 

 

 

 

 

 

Balance your work with your life.

Especially where there are children involved, women entrepreneurs who have their own business can find it especially difficult when starting out. Finding the time for family as well as the demands of a start-up can put pressure on everyone. Women’s natural ability to mulit-task steps in here and can be a huge help, however, knowing when to focus on just one task at a time is just as important when running your own business.

Being able to share the chores at home and diplomacy when discussing your new venture is very important when dealing with all of the members of your family. Explaining, especially to younger children, just how important this is to you will help. Trying to involve everyone in things such as advertising and networking ideas can help them feel that your time with them is more important than ever.

Funding:  Get over your fear of debt.

One thing most women fear when running a business is how much debt they will need to take on. Balancing good and bad debt is an important factor that you need to consider. Bad debt includes purchases which are spur of the moment or unnecessary. Good debt is something that will improve your future and that of your family. It builds your credit rating and should be an amount that you know you will be able to repay.

Think big and pay yourself well.

This  includes charging an appropriate amount for your products and/or services. Women have been well trained in the art of feeling that their contribution is not worth as much as something a man contributes. Assert yourself, compare what others are charging for similar services and charge accordingly. You deserve it!

Have a destination in mind at all times. It’s easier to work backward from where you want to be than to move forward without specific goals in mind. One step at a time will get you there.

Know yourself.

While you wouldn’t think this would be a challenge that is especially targeted at women, most women really don’t know themselves well and if you ask them what they want to do, many times they aren’t sure or have no idea at all.

Each of us knows our own personal strengths and unique abilities. Build on those and don’t listen to what others tell you. You should be doing what works for you, not for someone else! On the flip side, we also know our weaknesses. When needing help in your business, hire an assistant or outsource to a team that specializes in what you need. It will help grow your business! Remember, you don’t have to do it all yourself.

Have confidence and believe in yourself.

Leading the way in the corporate world is totally different than leading the way! Being an independent thinker and stepping outside of the usual role model can be scary. Carrying it off with confidence and knowing you can do this is a challenge that must be overcome in order to run a profitable and successful business. Don’t doubt YOUR talents or your ability to provide what others need and want. Negotiate the best deal for yourself and do it in such a way that your business grows. If you do have doubts, look to a mentor for advice and to help you with difficult decisions. Don’t let others belittle your efforts or think of your business as “just a hobby.”It’s your livelihood and your future you are building.

The most important thing to keep in mind is that you can meet your challenges head on, overcome them and be successful!

Continuing on with my journey as DemGen’s June expert of the month; let’s talk chicks!

You know: Women, the ladies, mothers, daughters, aunts, wives etc.  We are a wonderful, intelligent, get-things -done, empowered bunch and are making a huge impact in the small business world these days.  My inspiration for this blog came after a chat on this subject with a woman who seems to fit into all those categories; Barb Stuhlemmer with Blitz Business Success.  Both of our companies help entrepreneurs and we love to share and learn from each other.

I am fortunate to speak with many savvy women in business, as DemGen attracts a number of these ladies.  Visionaries that have great ideas and usually an already thriving business, but lack the time to implement ALL that needs to be done on a daily basis to run a business.  Many of these women are young mothers juggling their entrepreneurship with raising a family or another career.

How do we do it you ask?  Well, we get help.  We are pretty good at asking for help (nudge, nudge, wink, wink – yes, we all know who I am nudging) and enjoy the benefits from that help.  Our business grows, we have some more time to focus on the part of the business we love that keeps us stimulated and motivated to do what we do.  We have some free time; we meet for non-fat lattes and glasses of wine to solve the world’s problems.

Life is good my friends, when we partner to grow our empires.  Some join a Mastermind, others belong to small groups (my colleague Susan belongs to an amazing group of women called: Women on Top that keeps her smiling and motivated), others hire companies like Barb’s and DemGen to move the needle forward on their entrepreneurial journey to success.

I am excited to be DemGen’s ‘Expert of the Month’ for June!  I love this initiative, as DemGen’s product is…people!   And their  skills of course, but this is a great way to showcase the people that help your business grow.  Virtually!

As I pondered, (or percolated as we say here at DemGen) the term ‘expert’, I began to consider what actually makes someone an expert.   Many would say you are considered an expert in your field if you are quoted by the media, or interviewed on your knowledge of a particular subject.

We have all watched a news program with an ‘expert’ weighing in on the discussion.  Some would argue it is the number of years you spent at school studying that particular subject, resulting in additional letters at the end of your professional name.  But I think the reality is, these days ANYONE can become an expert on anything at almost any stage of their life….and I think that’s pretty cool!

We help a number of experts; in fact that is one of our specialties!  I have had the privilege of getting to know several, all with a different message to share or skill to coach or teach.  My knowledge of their expertise is through our conversations or by reviewing their website and reading testimonials….or perhaps even by their success.  We are raving fans of Brendon Burchard who coaches people on how to be experts.  Amazing really, an expert on being an expert in your field.

So…what kind of expert am I? Well, my title is the Director of Growth Operations here at DemGen.  I have worked in sales for many years.  I went to school for marketing and sales; have taken many courses since, spent many hours studying different methods and techniques (from other experts) to improve my sales skills and effectively contribute to my team both intellectually and emotionally.  But I am also a mom, a daughter, a girlfriend, a sister, a friend and I work hard at excelling at all of those as well.

Maybe my greatest expertise is just being me.  And that feels pretty darn good.

5 Ways to Take the Vacation You Need

Being a business owner and trying to keep your small business on track is a full time job. Planning for that needed vacation doesn’t have to be another item that adds stress to your already busy schedule.

While many dream of running a business, thinking it will leave them with lots of free time for that vacation they’ve always wanted, the reality can be much different.

The never ending demands of life, tasks that must be completed by a certain date and just the day to day running of the business can leave you with not only no time to get away but also little time for planning that getaway.

If you want to stay energized and healthy while keeping your business on the right track, taking a vacation isn’t a luxury, it’s a necessity.

How do you take the vacation you need?

  1. Decide where you want to go and how long you can stay away without affecting your business negatively. This also includes how long you feel comfortable with being away from your business!
  2. List the business tasks which have to be taken care of by you and under no circumstances can be handled by anyone else. While you’re at it, make a list of things at home that also need to be looked after e.g. Mail delivery, snow shovelling in winter, lawn trimming in summer.
  3. Decide who will be in charge and who will take care of your administration. This may be the time to invest in outsourcing. A good team that works well together and is used to handling multiple tasks can make your vacation worry free. Find one where you pay only for the time you use and keep your business moving along while in good hands.
  4. Be specific. Delegate certain responsibilities to your team, make sure they have all of the details needed and spend time with them before you leave. Let them get to know both you and your business.
  5. Handle your control issues ahead of time. Once you have that team in place and everyone knows their part in running your business while you are on vacation, relax and let them do their job! This is what they are good at and you need to take this time to rejuvenate.

There’s no question about it. Taking a vacation is a scary thing when you own a business but it’s also the way the best business owners manage their health – both physical and emotional. A healthy work-life balance will keep both of you striding along together for many years!

Put Emotional Honesty to Work in Your Business

Honesty is as valued in your business as it is in your personal life. To be a successful entrepreneur it’s very important to know unequivocally, “I run an honest business.” No argument there, right? Consider this: It is just as important to your success to be able to know with certainty, “I run an emotionally honest business.” This latter statement demonstrates great business savvy, and here’s why:

 When you develop emotional honesty, you have the ability to recognize,respect and value the wisdom of your heart.

 Now, you might ask, “Just what is emotional honesty?” That’s a great question! And asking great questions is the perfect place to start to grow emotionally honesty.

So, let’s ‘answer’ that first question by considering a few more:

  • How well do you actually know yourself and allow others to know you?
  • Do you listen to and respect your intuition and your feelings?
  • Do you pay attention to what your heart tells you and speak up about it?
  • Do you put yourself on the line and ask questions?
  • Do you learn about others’ unique potential and offer support?
  • Do you pay attention to and act on your gut feelings?

Honesty means respecting the wisdom of both your heart and your head. It means listening to your gut instincts; they reflect insight and good judgment. Whatever you deeply sense most often proves to be valid.

Your feelings are powerful catalysts for change. They clarify who you are right now, what you’re capable of becoming and where you are going in your life and work.

Emotional honesty is about appropriately expressing feelings that are consistent with your values and purpose. It is at the heart of self-respect and caring for others.

 To grow your emotional honesty, take the time to write it down!

Set aside time to reflect and write without judgment about your personal life and your work every day. Write whatever comes up in emotionally honest words. There is no correct way to express your thoughts and feelings – honesty just is what it is. Give yourself five minutes or twenty; the length of time is far less important than the fact that you create the habit to know yourself better through your feelings and word-thoughts.

Writing by hand produces better results for most people, so we suggest you experiment with doing that versus typing or dictating. Pick out a journal that you’ll enjoy using. A commitment to write for three weeks or more will bring unforeseen breakthroughs in your habitual thinking and feeling.

Real Estate and My Virtual Life

Hello everyone!  My name is Kimberley, and I am DemGen’s Expert of the Month for May.
With this being my final blog of the month, I wanted to circle back to my Real Estate expertise, my personal background, and explain how I am collaborating with DemGen to bring my industry experience into a format partnered with their qualified Virtual Assistant’s, which offers RE Administrative services to the entire Real Estate industry. (Agents, Brokers, and Brokerages).
First, my specific Real Estate background:
1) I am a licensed (and part-time practicing) Broker in Real Estate in Simcoe County;
2) I have been a member of both the Barrie Real Estate Board, as well as the Toronto Real Estate Board (aka TREB);
3) I work as an independent contractor for DemGen, as the Project Manager for DemGen’s newest niche-market “Real Estate Administration”.
4) I am currently working on completing my PREA Certification (Professional Real Estate Assistant Training & Certification).  I am 75% completed, and I’m happy to say am working towards graduating with a 100% average.  I will be using this certification to further educate our Real Estate Virtual Assistants on the nuances of our special industry, and as it pertains to supporting RE Salespeople.

The world of Real Estate is essentially, in my opinion, an entrepreneurial world, the very same as DemGen (our company) is, as well as the independent contractor “experts” we have on board with us.  My career with DemGen is a perfect blend of my more recent experience in Real Estate, and my extensive past background in Corporate Executive Assistance.  (Before moving into Real Estate, I held top-level Executive Assistant positions for 12+ years.
The one thing that I have witnessed in my years in Real Estate is that it is uniquely a trade where one must wear many, many, many, many, many hats.    And the reality being, not many of us (if any of us), can boast that we are excellent at every single aspect it takes to run a successful business.   I have learned that is nothing to be ashamed of, and in fact, recognizing it early is a very critical step in beginning to lay your foundation of business success.
I think many of my fellow Real Estate colleagues could truthfully say that when they look at the people who are most successful in their areas…. they will find there is a very similar common-denominator.  And that is, quite simply, that they are no longer operating as a one-man, or one-woman show.  Typically, those most successful are the ones who learned that building a team of people around you, each one having their own great talent, is the best formula.  And that alone frees everyone up to focus on their one true genius ability.  People report they are happiest when pursuing their true passion, no matter what that might be.
Letting go of the reins / control is probably the biggest challenge I would say I’ve witnessed entrepreneurs have had to face.   Many times the reasoning for not doing it is simply budget-based….  and let’s face it, it is hard to start up a business and think about sharing the fledgling revenues with anyone else until you are fully established.  And that thinking is certainly not incorrect, in fact, in the very beginning it is probably very smart.   But, there is that moment…. that “light-bulb” thing …. where some people can stand back and truly see that they are actually now getting in their own way.  They are, in fact, the bottle-neck in their own business.  No doubt it is a scary realization, but recognizing it and acknowledging it paves the way to removing that bottle-neck quickly and striving for the next plateau.
No one of us can be good at everything, and/or be everything to everybody.  That is why I believe the winning formula is to assemble a team around you for support, allowing you to focus on the areas that you do need to, and allowing everyone to do what they do best.   As the owner, or leader of your company, you should be concentrating on growth.  Working on your business, and not in your business in the road you need to be on.  (To steal a few well-known cliches).
In Real Estate, a huge component of it is administration and record-keeping.  And truly, a BORN sales person is highly unlikely to also be gifted at day-to-day organization, and/or creating administrative systems.  It’s certainly not impossible, but I’d say it is very unlikely.  The mind-set, personalities and methods of operation for those two groups/personality types are infinitely different.  Both very important, but both are very different.
Certainly due to the complexity of the industry, regulations, the required finite understanding of the laws & ethics – a very special need develops when deciding who to add to your team.   And waiting for the perfect team member to come along just never seems to happen, especially while you are tied up juggling all of those balls yourself – on a daily basis.
That is exactly where DemGen comes in.  We know what can, and can’t be done within the industry.  We understand the regulations very well, even when you might not. Real Estate is unique in that it’s very progressive, and eternally changing with daily new technology – yet, some very old-fashioned aspects and habits still remain.  And that could probably be said for a few other industries still working within that old model.
Virtual Administration makes sense, it’s efficient, and it’s extremely cost-effective.  And is, in my opinion, the absolute key to breaking out of the self-induced bottle-neck and going for the next evolution of your business’ growth.
So, I say “go for it” and take that next step, now!

Coaches provide great information in almost every field imaginable, but who do they go to when they need help themselves and how did they learn to coach others?

Coaches learn to maximize their  potential in order to help you in your business. We all become better when we learn from the best. Coaches that work with a mentor find that this helps them focus on their success and dedication to others. It provides them with the knowledge that they are seeking in order to nurture others in their business and life.

Coaches have to learn somewhere and they save time by learning from the pros. They can then pass this wisdom on to their clients. They learn the processes and steps which are necessary to make their goals and therefore your goals, a reality. They learn to perceive the changing needs of their clients and understand the fine balance that is needed in order to grow a business and enjoy yourself at the same time.

Each coach is unique and their ability to help you change your life and create the business of your dreams depends a lot on who they learn from. A good business coach will have a solid background in business and marketing. They will also know how to delegate because they want YOU to do the work, they don’t want to do it for you.

They will  be professional and have experience in running a business. This is how they learned to coach others, by first creating their own business and then teaching their employees. They will have experience in managing teams or groups, whether in business, sports or the community. All of this is hands on experience that gives them the ability to teach you and this is where they originally met those who were either their coaches or mentors.

When a coach needs coaching in their own business or life, they know from experience to access those with more wisdom in the area they need help with. Many coaches belong to chambers of commerce and other city or town organizations that offer them the opportunity to meet a large group of people with varied skills and experience.
