The Basics of Simplifying Your Business

simplicity  As the year starts to roll to its inevitable close, business owners are once again rushing to get too many things done so they can have as perfect a Christmas as possible. There are multiple to-do lists:  one for work, one for shopping and others for the new year and new goals they wish to meet.

It’s time to put down the lists, decide what really matters to you and stay focused. This is called prioritizing and if you can’t make up your mind what’s important, what you really want and why you’re in business, it may be time to do a complete overhaul, especially with how you deal with the various parts of your life.

Get back to basics. Once you decide to only concentrate on the things you love in your personal life, it won’t be long before it’s reflected in your business. The more you have, the more complicated life becomes and there is such a thing as over abundance. Downgrade by deciding which of your products or services are the most useful to your customers, are financially viable and result in the largest profit for you. Many businesses offer too many choices and if they have to hold items in stock, it costs them. The cost is then reflected in how much the customer pays. Don’t be a business owner who is making his customers pay for his bad choices.

Most of your clients can identify with this belief and keeping in close touch with them, perhaps sending out an end of year email asking what they appreciate most about your business can help you decide where you’d like to concentrate in the new year.

Minimize your scheduled activities. You’ll find that the less you have to stick to a schedule, the more relaxed you become. This helps creativity, something missing in most businesses these days in huge amounts. Don’t just organize, re-organize and don’t trust everything to your computer. Paper has its uses and one of them is that it doesn’t need an internet connection. Technology is a distraction and a huge time waster if it isn’t used for productive purposes so turn it off so you can concentrate. We are overloaded with gadgets that take up huge amounts of time and show little in return. Too much information, too many choices, leads to too much stress.

Keep your work and your personal life separate. I know that many people find friends and even mates through the workplace or through business but it’s refreshing when you spend your leisure time with others who have absolutely nothing to do with your workday. It gives you a break from thinking about your business, talking about your business and worrying about your business.

Decide which parts of your business you really enjoy and that you’d miss the most if they weren’t there. Concentrate on those tasks, outsource the others to someone else. Wealth is measured by many others things besides dollars. It’s measured in happiness, confidence in your abilities, and enjoyment of your life as it is now.

We figured it was the perfect opportunity to share more about the amazing things she is doing as an entrepreneur…

Please tell us more about your business.

I have two hats.

First, I am presently the CFO of Manatee Holdings Ltd. and am being groomed to take over the position of CEO in the future. Manatee is an aquaculture company pioneering sustainable ways to produce Geoduck clams and sea cucumbers in British Columbia.

My second role is helping executive business owners to transform both their lives and their businesses in ways that improve the quality of both by connecting them to their core purpose. You can find out more at www.theintegratedbusinessdoctor.com

These two roles fulfill my life purpose of being a passionate mentor and visionary businesswoman.

What inspired you to join or create these companies?

I met my husband in 2007 and I joined his company in 2008. Since joining Manatee, I have helped increased their revenue by over 200%. The family enterprise we have expanded upon since 2007 allows me to use my unique skill-set to oversee the relationship between the bottom line and the culture of the company

My work within the company as the CFO and auditor, combined with my mentoring capabilities to improve the quality of life of high-end executives has transformed the company my husband originally created. The same combination of capabilities is also helping us to parent our young son. It’s an inspiration to be able to bring perspective and insight into someone’s leadership style, while intuitively guiding them through the tough decisions they face as executive business owners. And at the same time help them remember the spirit and passion behind their day-to-day lives.

What common trends do you see with your clients (needs, position, inspiration, etc.)?

The average executive spends almost 2,000 hours each year at the office. In the old business strategies, the common trend was to focus on just pursuing money. We now realize there is a greater profit to be made across the entire spectrum of life if we ensure that we are also enjoying our work environment and making it a healthy and productive experience, both professionally and personally. I refer to this as Quality of Life Audit. We have seen in our own business not only an increase in revenue and productivity in the company, but more importantly a better wellbeing.

What’s the most rewarding thing about what you do?

The most rewarding thing about what I do is to be in what Strategic Coach calls my “Unique Ability.” This means to stay focused on my vision, to do only what I am best at, and what I enjoy the most, and to find ways to delegate everything else.

What are your greatest recent accomplishments?

I was ranked by PROFIT and Chatelaine magazines as one of Canada’s Top 100 Female Entrepreneurs in 2012 and in 2014.

In addition, I helped our company raise an additional $2.5 million in funding for our aquaculture operations.

How has working with DemGen benefited your business?

Working with DemGen allowed me to have a paradigm shift in terms of looking for alternatives to challenges that accomplish the vision both parties wanted as a result of our relationship.

How has ‘going virtual’ benefited your business?

It saves our companies thousands of dollars. In addition, it allows me to tap into resources with more leverage by being able to hire the best talents from the country where I was originally from which is the Philippines. Just recently, I saw an example of this when someone in North America without experience and just out of university who had an asking salary of $150,000.00 annually had her equivalent of someone from Asia who was better educated and working for $10,000 annually.

Did you have any initial reservations about ‘going virtual’? If so, what made you change your mind?

I didn’t have any reservations going virtual.

There are many types of small business owners, some just starting out and many who have been in business a long time. They tend to have one thing in common, they aren’t able to get their work done.

It isn’t that they aren’t capable of doing the work or not smart enough. The problem is they are trying to do too much, a variety of tasks, many of which they aren’t suited to. If you’ve read some of our other posts, we stress how each of us has genius abilities, those things that we are naturally very good at and love to do.

These business owners haven’t quite figured out yet what their special abilities are, or they want to do it all. Once they do realize what they’re best at and want to spend time working on that part of their business, that still leaves them with all of the other business tasks that will have to be completed by someone.

There is the administrative work, the marketing and advertising, customer calls to make, emails to be sent and newsletters. Someone needs to oversee projects and manage employees once they are hired. Payroll and financing, appointments and correspondence. All of these need to be looked after and you, as the business owner, somehow need to keep your finger in all of the pies also. It’s no wonder you aren’t getting your work done.

The answer is to surround yourself with a team of workers, each with their own special talents, who also know how to collaborate because they are used to working as a team. Virtual teams are experts at looking at what needs to be done, discussing it with you and doing it to your standards (or even higher!). They have project managers that take all of the extra work out of your hands so you can get your work done and leave the other tasks to those members of the team who excel at them. While you are still responsible for running your business, the team is responsible for understanding what you want done and completing it efficiently and to the best of their ability, all on schedule.

Yes, your business may be complicated and you may have multiple deadlines. Take your capabilities, focus on those and let the team take care of all of the other distractions. Yes, the work has to be done but it doesn’t all have to be done by you!

The Perfect Size for a Virtual Team

Many business owners have learned, (usually the hard way), that they can’t do all of the work of running a business by themselves. Burn out, disorganization, missed deadlines and forgotten clients have led them to the conclusions that it’s best to work with a virtual team if they want to succeed.

But virtual teams come in all shapes and sizes. There are virtual assistants, who usually work alone and then there are teams that collaborate together in order to work for a number of clients. Figuring out which one is best for you comes down to answering several questions about your business and about yourself.

Once your business is growing and is no longer small enough to be run by one person, you are looking for a team with a balance of virtual skills. The best teams will be mid-sized, neither too small (unable to offer a variety of packages), or too large, where at some point they become unmanageable and disorganized or have too much work to dedicate their attention accordingly.

You want the team you are working with to be motivated and made up of strong communicators. They need to be flexible, in order to work on various projects simultaneously and they also need to have the initiative to direct themselves without constant input from you. An effective virtual team has members with crossover abilities,that learn as they go. Their technological skills provide them with the base to build upon previous experiences, so the longer they work as a team, the more they improve and this can only be done with a team that isn’t too large.

One of the most important requisites of any team that you hire should be the ability to grow a close relationship with you. Rather than working as boss and employer, team members should work with you as mentors and suggest ways in which you can improve upon what is already a good thing. The team should understand you and what you would like to do with your business and they should also care about it as if it were theirs.

Finding a team that is just right, with services that are useful to you from infancy to maturity is what you are looking for. Their abilities should be varied and you should be able to find everything you need in one place with one team.

Success for your business means looking around and picking the team that is not too big, not too small….but just right!

index_1_ I remember growing up in the job climate, one that pitted possible employee against possible employee. Endless interviews where the same questions were always asked, everyone had identical resumes and you never really knew what the employer was looking for. One thing you did know was that it was rarely your unique talent, for almost everyone knew the answers the employers wanted to hear.

After many interviews, it occurred to me that what they were looking for were the not especially bright people. Creativity or imagination was not appreciated and if you were able to work with very little supervision, you were downright suspect, for the hiring managers didn’t want someone working there who could possibly take their jobs from them.

There were a lot of possible employees that fit that bill but I wasn’t one of them. Employers knew they could find lots of people that were more or less average, have them work for a set number of years and then when their salaries were becoming too high, they would replace them with another average, so-so, boring person and start the cycle all over again.

In this way, companies cycle through many employees and the dream/myth of a full time long term job slowly disappeared. Most jobs that go by that description now tend to be those that no one wants to work at full time anyway, let alone for a long time.

Enter virtual teams. Our company, DemGen, doesn’t offer full time work. We are a team that collaborates on projects. We work together, virtually, with one goal in mind and that is to help your business grow. We each have our own unique talents and in this way our abilities offset each other so those who hire us get the best of everything.

Our work is flexible. For the most part it can be done anytime from anywhere. We have time for things outside of work and that time keeps us healthy so when we have to, we can give 110% to get the work done.

We aren’t replaced every several years; instead, new members are added to the team who have new talents that blend well with those we already have. We don’t have an insecure boss who is always looking over their shoulder (and yours!) to ensure their job isn’t going to be taken by one of us because we like our work and aren’t interested in someone else’s job.

We are good communicators, network well and aren’t looking for the gold watch or the big pension. We want to enjoy our work lives as well as our time outside of work, for the two go together. People work best when they have an interesting and varied life outside of what they do for a living.

The climate these days tends more toward virtual teams and remote workers. For many of us this works well and once larger companies learn the benefits of hiring virtually (and also the benefits of doing it properly), work may once again become something that people are proud of, instead of something they avoid.

MOSAIC International is an organization of entrepreneurs who coach entrepreneurs.  We specifically work with Entrepreneurial Leadership Teams that are open minded; respectful; appreciative; growth oriented; frustrated and want help taking their business to the next level.  Our ideal client has between $2-50MM in revenue with 10-250 employees.   We start with a customized needs assessment and develop an action plan around your specific success criteria to help the entrepreneur and their team grow while also living a balanced life.

What inspired you to join or create this company?

I am a serial entrepreneur.  Having started three successful businesses, I realized that each company I started was someone else’s idea and I partnered with them to make their dream come alive.  This, in essence is what makes me come alive as well.  I have the genius ability to see the possibilities in challenging situations, simplify solutions and build the confidence needed to take action in order to achieve tangible results.  I dreamed of having a business that was run completely by entrepreneurs FOR entrepreneurs and soon, MOSAIC International was birthed!  At MOSAIC, we surround ourselves with people we admire, we are all doing what we love to do, we are making a tangible difference in other people’s lives,  we are all properly compensated for the work we do and to top it all off, we still have time to pursue other passions outside of work.  This is our definition of a GREAT life and it is our desire to help other people do the same.

What common trends do you see with your clients (needs, position, inspiration, etc.)?

Entrepreneurs are often very lonely.  They have huge visions for the future and they have great teams they have hired but so much of the business is still built around them which causes them to work nonstop in every aspect of the business.  Every day becomes a work day with constant strain between work and home and entrepreneurs often forget why they started the business in the first place.  We work with entrepreneurs to build their personal confidence and the confidence in their teams to achieve exponential growth and a more fulfilled life.

What’s the most rewarding thing about what you do?

I am a pioneer and a teacher and my role at MOSAIC allows me to do both of these things daily.  By working with a team of entrepreneurs and with clients who are entrepreneurs, I am able to help pioneer new ideas and some incredible growth initiatives.  I thrive when I am facilitating learning and am teaching new concepts and tools to others. Howard Thurman once said: “Don’t ask what the world needs. Ask what makes you come alive, and go do it. Because what the world needs is people who have come alive.”  I have done just that and it is the most rewarding thing in the world to help others do the same!

What are your greatest recent accomplishments (both with DemGen and otherwise)?

For the past 4 years, I have been a participant in an incredible program called Strategic Coach.  This program has helped me in so many ways but most importantly, it has helped me build a filter to put all opportunities that come my way through to make sure MOSAIC is doing the work we are uniquely good at.  Recently, I have made strategic decisions that has allowed me to free up more of my teams time and energy for the things that we LOVE to do and which add so much more value to our clients while also multiplying our bottom line.   The idea of growth to this magnitude didn’t happen because I always thought I had to hire more and more people in the organization.   While at Strategic Coach, I learned of DemGen and their services and I was immediately SOLD.  Through the help of DemGen and my amazing Executive Assistant, Kim, I have been able to streamline so much of what I do and let go of so much of the day to day that had kept me back from realizing the future I dreamed of.

How has working with DemGen benefited your business?

Working with DemGen has given me so much more peace of mind knowing that I have a team…. an ENTIRE TEAM of support around me for anything I could possibly need.   I was literally on a call today with my Executive Assistant when I was telling her some of the projects I was working on and some of the things I was really not looking forward to doing and she said, “You know, we have some folks on our team who do just that” and the stress in the moment was gone!  The folks at DemGen GET IT.  They are so sharp, they are the best at what they do and have really built an incredible team that extends to each of their clients.  Having this peace of mind allows me to use this energy on things that I am uniquely good at and that will produce greater results.  In  essence, DemGen has freed us up to spend more time doing what we love and that generates the most returns and the greatest impact.

How has ‘going virtual’ benefited your business?

I see the possibilities and potential in people and I usually try to hire them.  I have hired several people in my business all based on their potential as opposed to their genius abilities and skill sets.  I recently went out on a limb and hired someone who seemed so promising.  I soon found myself with an employee struggling to produce results and who was quickly stressed as she did not feel as though she was able to give me the support I needed.  I had invested a lot of time and energy into this hire.   I had also invested a significant amount of cash and had very little return except for a slightly used Macbook Air I had purchased just a few months earlier.  Something was not working.  Then I found DemGen and I have been able to get the results I have been looking for, with far less of an investment and I have people who are experts in their field supporting my company and helping us to stay focused on what we do best!  It is a true WIN-WIN.

Did you have any initial reservations about ‘going virtual’?   If so, what made you change your mind?

YES! I had the usual reservations.  I had it in my mind that I needed a team full time and people who were physically here with me.  I thought there was so much I would need completed that was dependent on being physically present.  However, I was proven wrong.  I had a mentor tell me once to be proactively skeptical.  He encouraged me to be skeptical but do not let this skeptical attitude cripple me from action.  Rather, he would encourage me to try things out like an experiment and see if you get the results you want.  This is exactly what I did with “going virtual”  I had a lot of hesitations and these hesitations were all in my head and I have been able to work around them all!  Now I am paying far less than I would with hiring full time employees and have a more robust team who are all doing what they love!  This gets me JAZZED up and excited each time I get the opportunity to connect with them.

Has DemGen exceeded your expectations?

DemGen continues to exceed my expectations.  Whether it is my Executive Assistant listening to me about my upcoming week and offering to take more and more off my plate or her introducing me to new technologies that can help me streamline what I do, or a strategic introduction to someone else at DemGen who can help me with my new project I am working on…. they have consistently shown me that they have the skills, know-how, and confidence to partner with me and MOSAIC to serve our customers effectively and efficiently.    I cannot say enough good things about DemGen and the team there!

While not jet-setting around the world, Will has coordinated the collective output of various teams and projects for over a decade. He especially loves working virtually, and openly welcomes the challenge of engaging clients and support teams cross multiple time zones.

Born in Canada, Will completed his Master’s degree in International Relations at the University of Wales in the UK.

His passion is helping others with strategic planning to help their businesses excel.  He embraces finding solutions to creative and business challenges.

With DemGen, Will acts as a Future Vision Map Strategist and Business Vision Advisor, helping clients to realize their ideal future business vision and implement the steps required to reach their goals.

Gloria has over 25 years of combined corporate and entrepreneurial experience.  She has had great success as a project manager, team leader, coach, facilitator and business consultant.  She joined DemGen to allow her genius abilities to flourish all the more through the potential to delegate the tasks she didn’t enjoy with her own business – just like we do for our clients!

With DemGen, Gloria acts as a Business Vision Advisor and Project Manager to assist our clients in establishing their top business priorities and the strategies required to meet their goals.  She helps to coach our clients to help them realize their dreams – as soon as possible.

Gloria believes that the key to success for anyone or any business is being able to look at any situation, task or problem holistically. If you can get a vision of the entire picture and the impact to others, you can always come up with a solution. This also gives you what you need to easily break the solution into smaller, manageable piece parts to ensure ongoing success and a sense of accomplishment for everyone involved. She is also a firm believer that every problem has a solution and everything happens for a reason.
